Computer Labs - Request Labs or Software for Summer

Overview of Non-Academic Lab Scheduling

Due to extremely limited resources during the summer, Instructional Computing must manage its available resources closely to provide quality services for all. For this reason, we have developed a set of policies and procedures which will help all the summer conferences and groups at UCSC who require the use of our computer labs. Please review the information below if you are interested in renting or using a computer lab during the summer months.

Lab rentals are done in four (4) hour time blocks as follows:

  • 8:00am-12:00pm
  • 1:00pm-5:00pm
  • 6:00pm-10:00pm

Based on limitations for scheduling lab consultants in the summer, we do not schedule labs outside of these time blocks. We understand that sometimes groups have specified lunch times which fall outside of these time blocks, but unfortunately we cannot accommodate these circumstances at this time.

Technical maintenance is planned in all labs at various times for Summer 2008. We are expecting the labs to be closed on the following dates:

  • June 18 - June 22, 2008
  • September 1 - September 22, 2008

Steps to Reserve a Summer Computer Lab

Step 1: What lab do you want?

If you don't know what lab is needed, you can peruse our list of labs (complete with hardware available, location, number of seats, and more) or call the Scheduling Coordinator at 831-459-5651.

Step 2: Is the time you want available?

Please check the 2008 Summer Schedule.

Step 3: Fill out the Online Non-Academic Lab Software and Scheduling Request Form

Step 4: Quotes and confirmations

You will receive an emailed PDF file containing your group's quote. This is only a quote, and the computer lab is not scheduled until you email back your approval of the quote. At that time, you will receive a confirmation and your lab will be scheduled.

Step 5: Do you need to make a change to an existing reservation?

You do not have to fill out the form again. Just email your group name and explicit changes to icrequests@ucsc.edu.

Scheduling Policies

Once a lab is reserved the Conference group will be charged 75% of the lab setup fee ($290) one (1) month prior to the first meeting. If the Conference cancels their reservation inside of this month period, they will lose $290. If the reservation is not canceled then $290 will be deducted from the bill at the end of the Conference.

Any changes or cancellation relating to an agreed-upon and confirmed schedule must be given to the IC Lab Scheduling Coordinator AND their Conference Services contact at least one (1) month in advance of the scheduled day subject to change. This means that weekend changes must be made no later than the start of the working day on the month before the first meeting. As consultants cannot coordinate scheduling changes, no changes will be done with the lab consultant on duty for a particular conference. Any group making changes fewer than one (1) month in advance will be charged an additional $75.00 for each change.

Printing is an additional charge to the cost of the lab rental. Printing is tallied daily and added to the final invoice. It is up to the group to let the IC Lab Scheduling Coordinator AND their Conference Services contact know if printing is not allowed by their group, otherwise that group is responsible for any charges incurred from printing.

Software and peripherals are limited to what already exists in each lab because of reduced availability of staff support. View a list of software and hardware available at each lab, or contact the IC Lab Scheduling Coordinator for more information. If a group requires software or hardware that is NOT currently available in our labs, they must indicate this on the lab request from. Additionally, the Conference contact(s) are responsible for providing all software media, licenses, and or hardware at least 4 weeks in advance of the first meeting. If any software is requested after the form is submitted then we can not guarantee that the software will be available for the Conference. Late software requests can be arranged at a charge of $55.00 per hour. Because of the specific network environment our computer labs run under, we do reserve the right to refuse special requests, but please contact us to see what can be arranged.

All users must have UCSC logins (current UCSC email account). Groups that have individuals who are NOT current UCSC students, staff or faculty (most summer groups) will need guest accounts set up for them in order for those individuals to use the workstations in the computer labs. To obtain these accounts, Conference Services must e-mail the IC Lab Scheduling Coordinator complete list of your group attendees, including first and last names. Conference Services must provide an Excel formatted list at least 10 business days in advance of the first meeting so that guest accounts can be created.
